This policy describes how this website handles personal information. It is not legal advice. Last updated 30 October 2026.
Who we are
This website belongs to our dental clinic. If you have a question about your personal information, or want to use any of the rights below, please reach us through our contact page.
We follow Nepal’s Privacy Act 2075 and Privacy Regulations 2077, and the Public Health Service Act 2075, which says health information about you must be kept confidential.
What we collect and why
When you use the booking form
| What we ask | Why we ask |
|---|---|
| Your name | To know who the appointment is for |
| Your phone number | To call or message you back to confirm the time |
| Reason for your visit (chosen from a list) | So the right dentist sees you and we plan enough time |
| Preferred day and time | To offer you a slot that suits you |
| An “I am in pain” tick box | So we can call people in pain first |
| Your consent tick | To record that you agreed to this policy |
The form also records the page you booked from, the page that sent you to our site (if your browser shares it) and any campaign tags in the web address. These tell us which pages help people find us. They do not identify you on their own.
The form does not ask for your medical history, and we ask you not to type one in. We ask about your health in person at the clinic.
When you press send, the form goes from our website’s server straight to one booking inbox that our clinic team uses. It is not sent to any advertising or analytics company.
When you call us or message us on WhatsApp
If you choose to call us or start a WhatsApp chat, we see your phone number and what you tell us. We use it only to answer you and arrange your care. WhatsApp is run by Meta, which handles messages under its own privacy policy.
When you visit any page
Our website is hosted on Cloudflare Pages. Like any web host, it keeps short technical logs, such as your IP address, browser type, the page asked for and the time. These logs are used to keep the site working and safe from attacks. We do not use them to build a picture of you.
What we do not collect
- No cookies. The site sets no cookies.
- No analytics. We run no Google Analytics or similar tools.
- No tracking pixels. We run no Facebook, Google Ads or other advertising tags.
If we ever add analytics or cookies, we will update this policy first and show a cookie notice that asks for your consent before anything is set.
Consent
We collect booking details only after you tick the consent box. You can withdraw your consent at any time by contacting us. If you do, we will stop using your details to arrange appointments, but we may still need to keep records of care you have already had (see below).
We will never show or publish your health details, photos or anything that identifies you without your written consent.
Who we share your information with
We share your information only:
- with the dentists and staff at our clinic who need it to arrange or give your care,
- with the services that run our website and booking inbox, only so they can deliver your message to us,
- when a court order or the law requires it.
We do not sell your information.
How long we keep it
- Booking requests that do not lead to a visit are kept only as long as we need them to arrange the appointment, then deleted.
- Clinical records of patients who visit are kept for at least 5 years from your last visit, as the Nepal Medical Council’s Code of Ethics requires.
- Hosting logs are kept by our host for a short time for security.
Your rights
You can ask us to:
- Show you the personal information we hold about you, including a copy of your dental records.
- Correct anything that is wrong or out of date.
- Delete your booking details. We will do this unless the law requires us to keep them, for example clinical records.
- Stop using your details, by withdrawing your consent.
To use these rights, contact us through our contact page. We may ask you to confirm who you are before we share or change anything, so that no one else can see your information.
Children
Anyone under 18 needs a parent or guardian to give consent for their information to be collected. If you are booking for a child, please fill in the form yourself as the parent or guardian. We never publish children’s photos or details for marketing.
How we keep your information safe
- The whole site uses a secure (HTTPS) connection, so what you send is encrypted on the way.
- Only clinic staff who need booking details to do their job can see them.
- Booking details are never passed to analytics or advertising tools.
- Health information given at the clinic is kept confidential.
No system is perfectly secure, but we take care to limit who can see your information and where it goes.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. Nepal’s Privacy Act also gives you the right to take a complaint to the District Court.
Changes to this policy
If we change how we handle personal information, we will update this page and change the date at the top.
